This policy explains what personal data we collect, why, what we do with it, who we share it with, how long we keep it, and your rights. It applies to landlords, agents and tenants. Connect My Rent is a record-keeping and communication tool for residential lettings in England. It is not a substitute for legal advice.
Account data: your name and email; your password is held only in hashed form by our authentication provider and we never see it. Property and tenancy data: address, postcode, council, property nickname and tenancy details added by landlords. Fault and maintenance data: issues logged, including descriptions, priority, status and photographs. Messages: the content of conversations within a property thread. Documents and certificates: files uploaded to the vault such as EICR, gas safety, EPC, fire safety, How to Rent and deposit protection records, which may themselves contain personal data. Technical data: basic log and security information handled by our providers. Please do not upload special category data unless necessary and lawful.
To provide the service and your account (performance of a contract); to keep records supporting landlord compliance (legitimate interests and, where relevant, legal obligation); to keep the service secure and fix problems (legitimate interests); to contact you about the service (contract or legitimate interests). Where we rely on consent we ask separately and you can withdraw it.
Access is scoped per property: the landlord for a property and the tenants linked to it can see that property's records. One landlord's records are not visible to another, and tenants see only the properties they are linked to.
Supabase (database, authentication, backend), Cloudflare (file storage and delivery) and Lovable (hosting), acting on our instructions under contract.
Where providers process data outside the UK, we rely on appropriate safeguards recognised under UK data protection law.
For as long as your account is active and as needed to provide the service; compliance records may be kept for the tenancy and a reasonable period afterwards; on account closure we delete or anonymise your data within a reasonable period unless we must keep some to meet a legal obligation.
We use reasonable technical and organisational measures, including encrypted connections, authenticated access and per-property access controls.
You can access, correct, erase, restrict, object to processing of, and port your data. Contact privacy@connectmyrent.com and we will respond within the time limits set by law, normally one month.
